POD — Proof of Delivery

A proof of delivery (POD) is the signed document confirming that freight arrived and was accepted — when, in what condition and by whom. Many customers will not pay an invoice until it is attached.

Also called: proof of delivery, signed POD, delivery receipt

Who deals with it
The driver obtains it, the receiver signs it, and billing needs it before the invoice can go.
When it shows up
At delivery — and then again, repeatedly, as someone chases the photo.
What usually goes wrong
It exists but never gets filed: the freight was delivered days ago and the document is still in a camera roll.

POD, explained

The bill of lading is the paper at pickup; the POD is the evidence at the other end. Signed by whoever received the freight, it records that the shipment arrived, when, and in what condition, along with any shortage or damage noted at the dock.

Commercially it is a payment gate rather than paperwork. A POD sitting on a driver's phone is not an administrative loose end — it is an invoice that cannot go out. That is why the gap between delivery and a filed POD is one of the most controllable delays in getting paid.

How Lanexa handles it

This lives mainly in Documents, where 249 catalogued capabilities are live. Each item says which plan it is on.

A link, not an app

Send a request link; the driver or receiver opens it on a phone with no login and uploads the document, which is filed against the load.

Photos from the conversation

A photo a driver sends in a load's text or WhatsApp thread is filed against that load and waits in a review queue, where someone names it — POD, BOL — in one click.

No POD, no invoice — when the customer says so

For a customer who requires it, marking the load delivered does not write the invoice until the POD is on file, and records why it skipped.

The paperwork radar

A POD still missing three days after delivery ranks high on the paperwork radar, which orders loads by the money their missing documents are holding up.
